Rooming List

👉 The list that turns a group booking into actual guests, rooms and individual requirements.

📘 What is a Rooming List?

A Rooming List is a document containing the information required to allocate rooms and guests within a group booking.

It is commonly used for tour groups, conferences, events, weddings, sports teams, corporate travel and bookings managed by tour operators or travel agencies.

A Rooming List may include:

  • each guest’s full name;
  • allocated room or requested room type;
  • occupancy per room;
  • arrival and departure dates;
  • meal plan;
  • accompanying guests;
  • preferences or special requests;
  • relevant notes regarding the stay.

Typically, a hotel will initially receive a group reservation or room block. The organiser, agency or tour operator then provides the Rooming List once the individual guest details and room allocations are confirmed.

✅ Why is a Rooming List important?

  • Ensures rooms within a group booking are allocated correctly.
  • Improves coordination between Reservations, Front Office, Sales and other departments.
  • Helps the hotel prepare for individual guest requirements before arrival.
  • Reduces errors involving names, occupancy, room types and dates.
  • Makes check-in more efficient for large groups.
  • Helps track how an initial room block translates into actual stays.

💡 Practical example of a Rooming List

A hotel receives a group booking for a conference covering 40 rooms for three nights.

Initially, the organiser blocks the rooms without providing individual guest details.

Two weeks before arrival, the organiser sends the Rooming List containing guest names, the allocation between single and double rooms, individual stay dates and several special requests.

The hotel can then update the reservations and prepare for the group’s arrival using the final information.

🔄 Disambiguation of Rooming List

Rooming List vs Group Booking:
A Group Booking establishes the overall accommodation requirements, including the number of rooms, dates and agreed conditions. A Rooming List subsequently specifies who will occupy those rooms and how they should be allocated.

Rooming List vs Allotment:
An allotment is a contracted block of rooms allocated to an intermediary under specific terms and dates. A Rooming List identifies the individual guests and room arrangements associated with a particular booking or group.

Rooming List vs Room Allocation:
A Room Allocation determines the rooms or inventory assigned to a group or partner. The Rooming List provides the individual guest details required to turn that allocation into specific stays.

Rooming List vs Guest List:
A Guest List may simply identify the people attending an event or travelling with a group. A Rooming List adds the accommodation element by matching guests with rooms, occupancy arrangements, dates and stay requirements.

In summary: Rooming List = the document detailing who is staying, how rooms are allocated and the individual requirements within a group booking.
